A Comprehensive Guide To Structuring A Yearbook For Print
Take a closer look at how to structure yearbooks with some essential tips for printing them to life.

A yearbook is the perfect way to encapsulate the school year that has been. Filled with tangible memories taking the form of photos, messages, reflections and people, a high-quality yearbook is something you can treasure not just as the school year comes to a close, but forever. There’s a wide variety of material you can include in your yearbook. Below, we take a closer look at what specific features are essential to build this parcel of memory, and how to structure them to create the perfect story.
How to Structure A Yearbook That Tells A Story
A yearbook isn’t just a collection of words and photos from throughout the school year, it’s a story. What kind of story do you want to tell? And how should you tell it?
As a package of content that both summarises and celebrates the school year that has been, one of the easiest ways to structure your yearbook is by grouping the sections in content themes, like people and leadership roles, subjects, events and year levels. Another way is to construct a yearbook chronologically. Whichever way you choose to structure your yearbook, at its heart it should tell a story that explores the growth, achievements and memories of the year. Let’s explore some of the specific sections that can be included in either a chronological structure or a content-themed structure that will assist your reader on their journey through the school year.

The Cover
There are no hard and fast rules to designing a cover for your yearbook, although there are certainly some must-haves. These include making sure that the school’s name and the year with the word yearbook (for example, “High School Name, 2026 Yearbook) are featured front and centre, so that alumni can easily differentiate between yearbooks from alternative years when looking back on them. It’s also wise to include the school’s logo and motto or slogan (if your school has one) and a picture (or a whole collage of them) can also infuse the cover with personality and joy.
Contents Page
The contents page is essential for folk wanting to find specific pages within this parcel of words and images. A simple contents page goes a long way, ensuring that page numbers align with the topics that are explored throughout the book. Plus, some great imagery that relates to these topics also pairs perfectly for a more lively contents page.
Principal’s Message
A principal’s message or letter is the most effective way to open the yearbook. This page-long note is helpful in setting the tone of this printed time capsule, while also providing any parents or staff reading the yearbook with a sense of leadership and community. A simple professional photo of the principal can also sit alongside the letter, to really bring the personal nature of this page to life. If your school has a prominent deputy principal, it’s also a great idea to dedicate a page to the deputy principal’s message or letter. This can allow both the deputy principal and principal to take different approaches to their messages, with one focusing on the school as a community and the other focusing on the business and logistical successes of the school year.
The School Captains
Dedicating a spread or two to the student leaders of the school is vital when constructing your yearbook. Alongside a photo of the school captains (you can also include the cohort of prefects), have each student write a paragraph or two. This could be summarising the year that was, their experiences as a school captain, or what the school community has meant to them. Parents, students and staff alike will all love this element of the yearbook.
Subjects or Departments
Depending on how you structure your yearbook - whether by themed content or chronologically - it can be a good idea to include some special news or highlights from each of the subject departments. If you choose to craft a yearbook led by chronology, you might choose to leave this section out - although make sure you still include exciting events that happened in specific departments. However if you go down the thematic route, it can be a great way to illustrate the wide range of talents and interests across the school by dedicating a page to each department or subject, with a note from the department head and some imagery from special events or achievements related to the subject.
Events
You’ll of course want to include the special events that unfolded throughout the school year in your yearbook. This could be anything from school sporting carnivals, fundraising fairs, musical theatre productions to interschool co-curricular activities. A page to a double page per event will provide you room to have a student or staff member write up a reflection of the event, alongside plenty of photos. Not only is this a great way to show the parents all the exciting things the students and staff got up to throughout the year, but it also provides a way to collate a range of imagery that demonstrates all the different activities the students are interested in.
Year Levels
Next up, set aside a double page spread per year level (depending on how big your school is - if it’s on the larger size you might want to reserve two spreads). This can include a whole year level photo, alongside a reflection from the head staff member of the year level, or the student year level leader. This makes sure that despite all the other featured events, everyone will be included in the yearbook in some way.
Awards and Achievements
Think of this as not just as a space to showcase how fantastic your students are, but also a way to maybe even cheekily brag to the parents of all their achievements. Don’t be afraid to limit this spread (or two) to just school-specific achievements, either. Include some short reflections and complementary images of students and all they’ve been awarded from over the year, from being crowned dux of the school to winning a non-school related charity run outside of school.
Staff
You’ll want to reserve a few pages at the end of the yearbook for images and corresponding names of all the school’s staff members. While honouring their hard work and dedication from throughout the year, this also serves as a handy directory for both students and parents to refer to specific staff members in the years to come.
Autograph Pages
Autograph pages are a must-include in yearbook design. Leaving space (two to four pages) for students to autograph and write messages in their peer’s yearbooks turns this package of memories into a personal time capsule. Not much needs to be on this page - after all, the more space the better. All that the autograph pages entail is a heading detailing what the space is for (“Autographs”) and perhaps a beautiful border or some extra details in the margin to spruce up the space.

Crafting Copy That Strikes The Perfect Tone
When it comes to putting words on the page of your school yearbook, a good rule of thumb is less is more. The most engaging, accessible and memorable parts of any yearbook is the collection of images that encapsulate the school year. While words are certainly powerful, they work better in this context when they don’t overwhelm the page.
We investigated how to write and arrange a school yearbook on our blog here, but to summarise the suggested method of approach, keep the writing succinct and sentimental. A great way to achieve this is to involve the students as much as possible. There’s nothing better than reading about the school year than reading about it from those that experienced it first-hand.
Otherwise, make sure to keep a friendly tone, only write in small blocks at a time (except for sections like the principal’s letter), include the key information (who, what, where, when, why), keep the headings large and bold, and make use of subtitles. Ultimately, be careful not to overcrowd the yearbook with words. The more white space on the page, the better - after all, that means more room for photos.
Selecting Imagery That Authentically Reflects The Year
Now onto the fun part: images! The photographs you include in your yearbook are the perfect way to provide the reader with a portal to the year. They portray the mood, excitement and reality of what the school year has included, from sports days to school plays.
It can be difficult sometimes to find the right images to include in the yearbook that capture an event as it was experienced by the students. A great way to get around this obstacle is by doing a call-out to your student body for any appropriate photos they could contribute. An alternative to this is designating a student in each year level at the start of the year with the task to capture photos throughout the year, so that you have a range of trusty photographers across the school body to turn to when crafting your yearbook. This also helps to ensure that the photos are high-quality and appropriate. Less silly selfies, more winning medals!
It’s important to remember that when you are collating the images for your yearbook that you may also need to get permissions from the people you choose to include. A nifty way to do this is to send out a letter to all staff and students. No doubt that a large majority of the school body will want to be involved, so it won’t be too difficult to work out who would rather not be included.
You also want to make sure the photos are high-quality and take up at least half of the space on the page than words do (except for specific copy-heavy pages, like letters). Photos grab the reader and pull them in, succinctly portraying moments that are now being crystallised forever as memories.
Yearbook Printing in Australia
Now onto the nitty gritty of printing your yearbook. Once you have all the content, writing and images structured for the internal pages, you’ll want to think about the printing embellishments and finishing techniques that will turn your yearbook into a commemorative keepsake.
Common Binding Methods And Finishing Techniques
Most yearbooks are crafted with a softcover encasing, using perfect binding (or PUR binding) to glue the pages sturdily together with a square, flat spine. This not only gives yearbooks a professional finish, but it’s also the perfect way to ensure that your yearbook lasts a lifetime. Plus, perfect binding uses a flexible adhesive, ensuring your yearbook is accessible to open, read and reflect on the details contained in every page. The paper weight of the cover works best from 250gsm to 300gsm, while the internal pages can be anything from 100gsm to 150gsm to ensure the best quality of production.
Finishing Techniques for Special Edition Yearbooks and Year 12 Graduation Yearbooks
If you’re looking to create a special edition yearbook - like a commemorative milestone or year 12 graduation gift - a hardcover encased yearbook is that extra embellishment that will bring together your extra-special product. It’s also a cost-effective way to get the best possible quality, as 200 to 300 copies of your special edition yearbook is well above our minimum order quantity (100 copies) without getting too pricey.
Hardcover books provide a durability that gives your parcel of memories a permanent, archive-quality construction, transforming it into a time capsule that will stay with your students long after their school days are over. For the hardcover material, special edition yearbooks usually make use of a paper cover that makes printing on photos or imagery easy. Dust-jackets are also a great option, giving your yearbook that extra security and premium feel.
In addition to the hardcover, selecting the section-sewn method of book binding when crafting your yearbook will give it that extra strength and longevity, while also providing a professional library-book feel. Section-sewn is typically a little more expensive than the alternative binding method (perfect bound), however it works its magic for years to come by keeping memories - and pages! - intact.
To really make your yearbook a unique one, consider adding a special embellishment, like a gloss lamination to the pages, to really make the imagery and colour pop, or an embossing element to the title on the yearbook cover that crystalises the significance of the year’s achievements.
At the end of the day, you’re creating a book that students, staff and parents will treasure forever. This high-quality product is a story that provides a portal to everlasting memories. Just make sure to lead with community and connection and no doubt your yearbook will be a fantastic one!
